Bookings

To make a booking, visit our website or call the office on 01439 788991. A 25% deposit of the total rental fee is payable immediately upon making a booking, if the booking is made more than 6 weeks before the arrival date. The remaining balance of the booking is due 6 weeks prior to arrival. If booking within 6 weeks prior to the arrival date the full total is due at the time of booking. If the remaining balance is not paid 6 weeks prior to the arrival date, the booking will automatically be cancelled, and the deposit will be retained. Payment can be made via BACS, PayPal or phoning Studford reception over a card machine.

Discounts and Promotions

Only one discount can be applied to each booking at the time of booking, we do not apply discounts to bookings that have already been made. Promotional codes must be used within the dates and times specified in the advertisement, once a promotion has ended, we are unable to add it to your booking.

Payment Confirmation

Payment confirmation and details of your booking will be emailed to you. Please check the details on the confirmation carefully. If any of the details are incorrect, or have changed, please advise our Reservations Team as soon as possible. Please ensure that you pay any amount required in accordance with the confirmation payment schedule. Failure to do so could result in the cancellation of your booking and the forfeiting of your deposit.

Changing your booking

Bookings can be changed once for any reason, however this is subject to availability. Bookings can be changed immediately or new booking dates need to be confirmed within 6 weeks of this being actioned. Date changes that take longer than 6 weeks will be treated as a cancellation.

Any changes of date may incur a change of price to your booking, depending on rates and seasonal band chosen. If the date change is out of the 6 week payment window, the price will be adjusted accordingly if the price band is different and the price can be adjusted. Once within the 6 week payment window, the date can be changed but the price will not be adjusted if the new date is in a different price band. This includes where lodges have been discounted due to late availability.

Date change costings and terms are at the discretion of Studford Luxury Lodges.

Cancellation

Should the booking need to be cancelled, we require written cancellation via email or post, phone calls are not accepted as a cancellation request. Cancellation 3 months prior to the arrival date is free and will result in the returning of the 25% deposit. Cancellation within 3 months of the arrival date will result in the retaining of the 25% deposit. Cancellation within 6 weeks of the arrival date will incur the full charge for the booking. Stays over Christmas and New Year are non-refundable.

Check In & Arrival

A pre arrival email will be sent 48 hours prior to guest arrival with all the booking details, arrival details and site information.

Check-in is available from 2:30 PM onwards.

If there is no-one staying the previous night or the cleaners are finished early, we will let you know.

Checkout is required by 10:00 AM at the latest.

We maintain a strict checkout policy of 10:00 AM, as our housekeeping team needs sufficient time to prepare the lodges for the next guests, ensuring they are in pristine condition.

Lost Property

If you leave something behind in the lodge after check-out, we’ll place any found items in our lost property and keep them safe for 1 month. If we don’t hear from you within that time, unclaimed items will be donated to a local charity shop. If you realise something has been left behind after your stay, please give us a call. We’re happy to post it back to you, as long as it’s within 7 days of your check-out. Please note that postage costs will need to be covered by the customer.

Guest Safety

Children under the age of 16 must be supervised at all times by an adult.

A maximum speed limit of 5mph must be adhered to whilst driving onsite.

Please read, and adhere to, the health & safety instructions prior to using the hot tubs. This information is available at check in, and displayed in signs near the hot tubs. We accept no responsibility for guests using the hot tubs outside of these guidelines.

Guest Behaviour / Our Quiet Policy

Please be considerate during your stay with us. Studford Luxury Lodges is a family run business and we ask that you respect this as well as our environment. The lead booker is responsible for the behaviour of all members of the party. Our Quiet Policy means that we will not tolerate excessively noisy or disruptive music or celebrations after 10pm.

Offensive or aggressive behaviour or language towards our staff is not acceptable. Offensive or illegal behaviour will not be tolerated and may result in the Police being involved. We may ask you and/or any member of your party to leave immediately if your conduct results in Police attendance or is considered by us to be inappropriate; likely to cause harm; or impair the enjoyment, comfort or safety of anyone; or is likely, in our belief, to breach any of this agreement. No refunds or compensation will be given in these circumstances and we reserve the right not to accept any future bookings from you or any member of your party.

Whilst we do not encourage large noisy single-sex parties due to the quiet and relaxed nature of the park, we can accommodate single-sex groups genuinely looking for a quieter getaway. If this is the case, please speak to our staff in advance.

Damages

In the event of any damages guests are required to reimburse Studford Luxury Lodges for replacement, repair, or extra cleaning costs incurred. These charges will be itemised and invoiced for directly after your stay. Single sex groups will be asked to pay a £500 refundable security deposit on arrival.

Liability

The following provisions set out our liability to you in respect of any breach of the booking conditions and/or any representation, including negligence arising under or in connection with the booking contract -

All warranties, conditions and other terms implied by statute or common law are, to the fullest extent permitted by law, excluded from the contract.

Nothing in the contract excludes or limits the liability of Studford Luxury Lodges for death or personal injury caused by our own negligence or fraudulent misrepresentation.

Subject to the above clauses, our total liability (including negligence or breach of statutory duty), misrepresentation or otherwise, arising in connection with the performance of the contract shall be limited to a sum equal to three times the rental fee; and (2) Studford Luxury Lodges shall not be liable to the guest for any type of indirect or consequential loss or damage, costs, expenses or other claims for consequential compensation whatsoever (howsoever caused) which arise out of or in connection with the contract. If the booked lodge becomes unavailable or un-useable for some reason prior your arrival, then we will reimburse you for any monies paid. That said, we will not be deemed to be in breach of this contract in circumstances deemed to be beyond our reasonable control - such as fire, flood, exceptional weather conditions, epidemics, destruction and damage of the property by any cause other than our own negligence. No compensation, costs, expenses or other sums of any description (including without limitation the cost of securing alternative accommodation) will be payable in such circumstances by Studford Luxury Lodges to the guest.

We would also like to store and use your personal details for future marketing purposes (for example, sending brochures, or emailing details of promotions or offers that we feel may be of interest). All details given to us at any time will be kept, but only names, contact details and the booking preferences will be used for marketing purposes unless you have informed us otherwise when the information is provided. We will respect the privacy of your personal data and will comply with current data protection legislation.
